AI implementation for SMBs and scale-ups
What it costs, how long it takes, where to start and where AI will not help you. Written from implementations, not from trends.
What is AI implementation?
AI implementation is building AI into your existing operation: the processes, the tools and the people already there. So it is something other than a ChatGPT subscription for the team or a one-off pilot. A good implementation starts with the question of where your week leaks away, and ends with working systems that close that leak: a quote that prepares itself, an inbox that sorts itself, a report that assembles itself.
For founder-led companies of roughly 10 to 100 people this is rarely a technology problem. The models are good enough. The real work is choosing the right processes, capturing how the work actually runs today, and building something your team still uses in week two.
Where do you start?
Do not start with the technology, start with the time. First map where the hours per week go, then take the work that recurs often, follows clear rules and is done by hand today. In practice that is almost always the same five places: quotes written from scratch, information retyped between systems, meetings without follow-through, the founder as the human router, and reports nobody reads. We wrote a separate guide on it, with a self-test per leak.
The fastest way to make this concrete for your business is an AI audit: one hour through your whole business, then a document with the monthly cost and the fix per bottleneck. It is free, no barrier. Not a generic scan that is really a sales call; a working session with a document you can run without us.
What does AI implementation cost?
A focused implementation project starts from 2,000 euro. What you end up spending depends on scope, and we only set that after we have seen your processes; everything before that is guessing. For reference, this is how we think about the build-up:
| AI audit | 1 hour session + custom document | Free |
| Implementation project | automation, agents or internal software, 4 to 12 weeks | from 2,000 euro |
The math on the other side: ten hours a week of repetitive work, at an internal rate of 75 euro, is roughly 3,000 euro a month. Most businesses we walk through have three or four of these leaks running at once. That is why we start with the audit: then you calculate with your numbers instead of with promises.
How long does it take?
Most tracks run 4 to 12 weeks. An audit or strategy track: 1 to 2 weeks. An automation: 2 to 4 weeks. Custom agents and internal AI software: 6 to 12 weeks. We deliberately start small, with one process and a measurable result, and scale from there. An implementation that starts with a six-month roadmap is usually one that never ships anything.
Where AI does not help
Honesty over hype: not everything should be automated. Work that happens a few times a year, work where the relationship is the product (a difficult client call, a negotiation), and processes that still change every month are usually not worth it. Automating a chaotic process just makes the chaos faster. Settle the process first, then automate. If an audit shows AI will not help you somewhere, that goes in the document too.
How we work
We start with the founders and the management team, not with IT. In working sessions we use real problems from your business as the curriculum, map where AI fits, and then build the automations, agents or internal software that take over the work. Everything we build runs on Claude, Anthropic's reasoning model, because in production it turns out the most reliable for this kind of work.
How that plays out is in our work for UWV, ThePhoneLab and MEGATHON.
Frequently asked
What does AI implementation cost?
A focused project starts from 2,000 euro. The entry point is a free AI audit: one hour through your whole business plus a document with the cost and the fix per bottleneck. Larger tracks are scoped after the audit.
How long does AI implementation take?
Usually 4 to 12 weeks. Strategy and audit: 1 to 2 weeks. Automations: 2 to 4 weeks. Custom agents and AI software: 6 to 12 weeks. Always a small, measurable proof of value first.
What is the difference with a free AI scan?
A typical free scan is a sales call with a different name. Our audit is free too, but it is a real working session with a document written for your specific business, including quick wins you can run without an agency. Same price, very different value.
Which processes do you automate first?
Work that recurs often, follows clear rules and is now retyped by hand between systems: proposals, inbox triage, meeting notes into tasks, reporting. Not processes that still change every month.
Does my data need to be clean first?
No, not for most use cases. Modern language models work well with the messy reality of emails, documents and notes. What does need to be right: the process itself and where the information lives.
Do you only work in Amsterdam?
We are based in Amsterdam (ai.am) and work across the Netherlands, the EU and the US, mostly remote. Sessions can be on location when that speeds up the work.
Want to know where yours leaks?
One hour, 1-on-1. Then a document with every gap, its value, and a step-by-step plan. Free, no barrier.
